2027 Presenter Instructions

The BPNA 2027 conference will be delivered as a hybrid event from 6 to 8 January 2027 at The Eastside Rooms, Birmingham (Woodstock Street, Birmingham, B7 4BL).

Key Presentation Formats


Oral Presentations | A number of abstracts will be selected for oral presentation during the conference

Presentation Duration: 10 minutes for the presentation, followed by 5 minutes for questions and discussion (total 15 minutes)
*Chairing will be strict

Requirements: All Oral presenters are expected to attend the conference in-person

Presenter's registration deadline: 2 November 2026


Poster Presentations | A number of posters will be selected for physical display on poster boards at the conference venue

Display Duration: Posters will remain on display for the duration of the conference, from Wednesday 6 January to Friday 8 January 2027.

Requirements:
Posters must be prepared and printed in portrait orientation, at a maximum size of A0 (841mm x 1,189mm)
All physical poster presenters are expected to attend the conference in-person, to answer any questions from attendees during poster viewing sessions and breaks

Poster Tours |
A selection of poster presenters will be invited to take part in a Poster Tour (one tour per day of the conference)

Presentation Duration: 3 minutes for the presentation, followed by 2 minutes for questions and discussion (total 5 minutes)
*Chairing will be strict

Requirements: All Poster Tour presenters are expected to attend the conference in-person

Video Challenge Presentations | A limited number of abstracts will be selected for the 'Video Challenge' event

Presentation Duration: 20 minutes (If your abstract is selected, we will contact you with further details)

Requirements: All video challenge presenters are expected to attend the conference in-person

Presenter's registration deadline: 2 November 2026


On-Site Logistics (Physical Posters)
Set Up your poster | You will be required to put your poster up in the required location before the start of the first session - 12.30PM on Wednesday 6 January 2027. 

Location | A poster plan, showing the exact location of each poster, will be available at the conference entrance near the registration desk. Please refer to the board for your poster number and name.

Materials | Velcro fixings will be provided on the poster boards. BPNA staff will be available to assist if needed.

Poster Removal | All posters must be removed by 4:30PM on Friday 8 January 2027. Please note that any unclaimed posters will be discarded, as the conference venue does not offer storage facilities, and the space will be reallocated immediately after the event.


PDF Poster Upload (for the conference app)
All abstract submitters are required to upload a virtual version and audio narrative of the poster that will be displayed in the conference App, at the latest by Monday 4 January 2027. Follow the below instructions to prepare your virtual poster and audio narrative.
*Submission links will be provided only to submitters of selected abstracts.

Prepare your PDF Poster & Audio Narrative
• A PDF version of your poster for easy zooming
• An MP4 audio narrative file to provide your commentary (up to 2 minutes long/ max10MB) to allow virtual attendees to listen to your presentation

1. Create Your Poster | Design a single-slide poster in PowerPoint with portrait orientation (9:16 ratio)

2. Save as PDF | Export your PowerPoint slide as a PDF
• Go to File > Export > Name your file with your poster number > Select File format: PDF > Export

3. Record Audio Narrative in PowerPoint | Add audio narration to your poster in PowerPoint (up to 2 minutes long)
• Go to Insert > Audio > Record Audio
• Save and verify the recording

4. Export as MP4 | Convert your PowerPoint with audio to an MP4 video file
• Go to File > Export > Create a video.
This will output an MP4 file, which is compatible with the conference app.

PLEASE NOTE:
• To ensure your file is under the 10MB limit: Select Standard (480p) or Internet Quality (720p) as the file size/quality setting before exporting. Avoid choosing "Presentation Quality (1080p)" as this will make the file size unnecessarily large for a single-slide presentation. This will output an MP4 file, which is compatible with the conference app.

• Only MP4 files will play audio in the conference app, and only PDFs are zoomable.


Upload your Poster

Submission links will be provided only to submitters of selected abstracts.



IMPORTANT NOTES:
• Only the abstract submitter can upload the poster. Ensure the submitter is registered for the conference before attempting to upload.
• It takes up to 24 hours for posters to appear on the conference web app, after uploading them.
To be considered for a prize, please upload your poster by Wednesday 30 December 2026, 5PM.


Important Deadlines
7 October 2026: Notification of selection results
2 November 2026: Conference Registration deadline for ALL presenters & Early Bird bookings deadline
30 December 2026 (5 PM): Deadline to upload poster and audio narrative to the conference wed app, to be eligible for prizes
4 January 2027: Final deadline for uploading PDF and MP4 files to the conference app

Publication
Abstracts selected for presentation at the BPNA conference will be published in the journal Developmental Medicine and Child Neurology.
